How Many QR Code Signs Do You Need at an Event?
One QR code does the job — but where you put it makes all the difference. Here's a practical guide to placing your PhotoShare QR code so most guests actually scan and upload.
One QR Code. But How Many Signs?
PhotoShare generates one QR code per event. You don't need multiple codes — every sign points to the same album. But the number of physical signs you print and display matters a lot.
The more places guests see the code during the event, the more photos end up in your album. A single sign at the entrance is easy to miss. Signs at every table, on the photo booth, and on the projector screen means guests encounter it naturally throughout the night.
The Short Answer by Event Size
- Small gathering (under 30 guests): 2–3 signs — entrance and each table group
- Medium event (30–100 guests): 5–8 signs — entrance, per table, photo booth
- Large event (100+ guests): 10+ signs — plus display it on screen or projector during downtime
Where to Place Your QR Code Signs
1. The Entrance
Put a sign at the entrance where guests check in or register. This is the first moment guests are standing still with their phones out. A clear, well-sized QR code here sets the expectation early: "Upload your photos here tonight."
Recommended size: A5 or A4 on a small stand or easel.
2. Each Table (or Table Group)
This is your highest-value placement. Guests spend most of the event seated at their table — eating, talking, taking photos of the food and each other. A tent card or small stand on every table gives them a natural moment to scan when they're already reaching for their phone.
Recommended size: A6 tent card or A5 flat card, one per table.
3. The Photo Booth or Backdrop Area
If you have a dedicated photo spot — a backdrop, a floral wall, a props area — put a sign right next to it. Guests who just took photos there are the most likely to upload right away. They already have the photo open in their camera roll.
Recommended size: A4 or larger so it's visible without picking it up.
4. Near the Food or Drinks Station
Filipinos photograph their food. The buffet table, the dessert spread, the lechon — guests are already getting their phones out here. A sign nearby means they can scan and upload while they're already in camera mode.
5. On the Projector or TV Screen
If your venue has a projector or display screen, show your PhotoShare QR code as a slide during cocktail hour, between program segments, or during dinner. A QR code on a large screen is visible from across the room and catches guests who missed the table cards.

6. The Event Program or Souvenir
Weddings, debuts, and corporate events often have printed programs or give-aways. Including the QR code in the program means guests have it in their hands all night and can upload at any point — even on the way home.
What Size Should You Print?
QR codes need to be large enough for phone cameras to read from a normal distance. As a rule:
- Hand-held cards (table tents, programs): At least 4cm × 4cm
- Standing signs (entrance, booth): At least 8cm × 8cm on an A4 or A5 sheet
- Projector/large display: Any size — phone cameras handle large QR codes easily
Leave white space around the QR code. A cramped QR code next to competing design elements is harder to scan.
